Proposal Manager

LOCATION: Raleigh, NC
EDUCATION: Bachelor’s Degree preferred, Associate’s Degree minimum
EXPERIENCE: 1-3 years of professional services proposal experience required; 5+ years working in the AEC industry preferred
SALARY: $70,000 - $90,000

JacobsWyper Architects (JWA), a full-service design firm working in a variety of market sectors, is seeking a Proposal Manager to join our marketing team. Reporting to the Marketing Director, this role will work directly with technical staff at all levels to support project pursuits throughout the firm from our Raleigh, NC office. This is a full-time salaried position with the option to work remotely up to two days a week in line with our hybrid work policy.

We are seeking candidates who thrive in collaborative team environments, bring efficiency to deadline-driven workflows, and have essential skills in basic software like Microsoft Office programs and Adobe InDesign. Candidates will be asked to complete a web-based short-form multiple-choice aptitude test for InDesign during the first interview.

While we welcome applications from candidates who are building upon entry-level experience crafting proposals in a professional services context, the ideal candidate will have over 5 years of AEC industry experience and the ability to manage competitive proposal pursuits with minimal oversight. Compensation will be commensurate with experience level.

 

PRIMARY RESPONSIBILITIES:

  • Lead production of project pursuit materials (LOI, RFQ, and RFP responses and interview slide decks) in collaboration with firm partners, principals, and project managers in line with internal formatting standards. (85%)
    • Participate in proposal/interview strategy sessions with technical staff and marketing team leaders.
    • Take ownership of the internal production process, most critically the schedule of tasks and deadlines.
    • Monitor proposal compliance and responsiveness throughout the production process.
    • Coordinate with consultant team partners to integrate their materials into our response.
    • Support team with development and formatting of story-driven Powerpoint presentations.
    • Update and maintain staff resumes, project profiles, and other elements used during proposal preparation in collaboration with other team members.
  • Assist with the development and maintenance of additional marketing content, collateral, and data as needed. (10%)
    • Collaborate with marketing leadership, graphic designer, and technical staff on the creation of brochures, design award submissions, conference materials, etc.
  • Other business development and marketing-related duties to support the Raleigh office and JWA at large. (5%)
    • Duties could include coordinating event registration, representing JWA at relevant networking events, and more.
    • Support the business development team to plan, prepare, set up, and take down booths at conferences both locally and nationally. Manual dexterity and limited travel (1-2 times annually) required.

 

REQUIRED QUALIFICATIONS:

  • Demonstrated ability to produce and coordinate deadline-driven work in a team environment with efficiency, clarity, and positivity
  • Strong written and verbal communication skills
  • Expert skills in Microsoft Outlook, Word, PowerPoint, and Excel as well as Adobe InDesign (refer to notes regarding aptitude testing)
  • Understanding of marketing and business development fundamentals, especially within a professional services context
  • Familiarity with Standard Form 330 and 254 proposal preparation

 

PREFERRED QUALIFICATIONS:

  • Experience with Microsoft Sharepoint and/or Adobe Photoshop and Illustrator
  • Basic understanding of AEC industry (terminology, project structure, etc.)

Project Manager will also be responsible for subconsultants and engineering partners under the design contract.

  • Prepare work plans to support the Partner-In-Charge and communicate plan to project team and verify progress to meet contractual obligations.
  • Manage all project financial performance indicators through DeItek including the monitoring of design fees.
  • Attend client meetings and regularly interfaces with clients and consultants.
  • Coordinate with Project Architect(s) on a regular basis to ensure projects are executed according to clients' goals and expectations.
  • Serves as the primary client liaison to bring the schedule, budgets, and scope of work to completion.
  • Advocate for teamwork, superior client service and design excellence and encourages team members and consultants to keep these as a priority throughout the duration of a project.
  • Executes quality control assurance in the project plan and ensures measures for quality control are included within the project fee.
     

JOB REQUIREMENTS:

  • Use Revit proficiently to model new and existing buildings accurately in 3D and in accordance with JacobsWyper’s internal BIM standards.
  • Develop and lead client-facing design presentations for all design phases of a project.
  • Have the ability to work independently on smaller projects or direct junior staff on larger projects and delegate tasks.
     

REQUIRED SKILLS/ABILITIES:

  • Basic understanding of interior and exterior building materials, with respect to comparative costs; key performance and installation concerns; contributions to sustainable design goals; and other crucial features.
  • An eagerness to develop the ability to produce a set of construction documents, including life safety sheets, typical and specific details, plans, reflected ceiling plans, interior and exterior elevations, sections, and schedules.
